Description:
Under the direct supervision of the CEO, the Executive Assistant relieves the CEO of administrative type functions in order to increase the time an executive has available for executive-level responsibilities. The Executive Assistant exercises a broad range of discretion and independent judgment to support the executive level staff members and is responsible for confidential and time-sensitive material. The Executive Assistant supports the CEO in assuring that outside contacts are communicated with effectively, necessary information and research is obtained in a timely fashion, meetings are well-organized and documented and CEO executive offices are well-organized and documents are stored appropriately. The Executive Assistant is responsible for coordinating projects as assigned.
Responsibilities:
* Responsible for coordinating the Board Meetings. This includes communicating with board members, mailing out board packets, taking minutes of the meeting and coordinating meals.
* Responsible for coordinating calendars for the CEO and scheduling appointments as needed.
* Coordinates travel for executive staff and others as needed.
* Supports the executive level staff members with copying, mailing, and contacts as needed.
* Responsible for coordinating assigned projects including coordinating participation, tracking project progress and documenting effectively.
* Coordinates attendance, takes minutes and arranges food for selected meetings.
* Prepares routine and advanced correspondence including letters, memoranda, and reports.
* Responsible for gathering information and preparing reports on collected information in a timely and effective manner.
* Facilitates in the creation of new forms and/or redesign forms.
* Acts as the first point of contact for visitors to the corporate offices. This includes meeting and greeting visitors, offering refreshments, and locating the appointed individual for the meeting.
* Responsible for maintaining the filing and office organization of the CEO.
* Participates in the front desk coverage rotation as needed
* Participates in and provides support for management, operations, quality management and task force meetings as needed.
* Provides administrative support to other senior management staff as assigned.
* Maintains a courteous, helpful and professional attitude on the job. Displays a willingness and ability to be responsive in a warm and caring to all customer groups.
